Description:

The Conference Secretariat supports participation by eligible delegates at conferences that address topics of particular interest to the Canadian International Development Agency (CIDA). Conferences must directly support one or more of CIDA?s program priorities (governance, health, basic education, private-sector development, and environmental sustainability, with gender equality as a cross-cutting theme), and seek to influence sustainable development in developing countries and/or countries in transition.

The Conference Fund provides support for organizations to invite delegates to conferences. Delegates may not apply to the fund directly: conference organizers must apply on their behalf. Proposed delegates must be citizens of countries and territories where Canada provides development assistance . For conferences held in Canada, conference participants are responsible for obtaining any necessary visas. When extending invitations, conference organizers should allow sufficient time for participants to obtain their visas. They should also provide written letters of invitation to support the visa application. The Conference Secretariat has no role in decisions on whether or not visas are issued.

Application Details:

Eligible events include: conferences, workshops, seminars, congresses, forums, summits, and colloquiums. The Conference Fund will support up to 33% of total conference costs, to a maximum of $200,000, towards the participation of eligible delegates. Proposals can be sent at any time during the year, but please note that complete applications must be received no later than 16 weeks before the conference begins.

A proposal should be no more than 15 pages long, excluding the required appendices. It should provide CIDA with a concise, but thorough, description of your conference. Incomplete applications will not be considered for funding. All expenses are limited to the total number of days for which the conference is held, plus two extra days, where necessary, for travel to and from the conference, unless otherwise approved in advance, in writing, by CIDA. The minimum amount for an application is $10,000. Financial assistance is normally provided through a contribution agreement. The agreement is governed by terms and conditions in a legally binding document that must be signed by the applicant and CIDA before payments can be made. CIDA's contribution can only be used to pay for expenses incurred after both parties have signed the agreement.

INDIRECT COSTS ARE NOT SUPPORTED BY THIS PROGRAM.

NOTE: Letters of Intent and Full Applications are to be processed through Research Development Services for institutional signatures, and are to be accompanied by a completed RDAF form (bearing applicant, Chair and Dean signatures). Requests for Institutional signatures should be received no less than 3 days prior to the posted Sponsor deadline.
