Exams, Midterms & Incomplete Standing
My test/exam conflicts with a class:
Class/lab/tutorial take priority over exams and tests scheduled outside of class time. If you have a conflict between an exam/test and a class, you will need to submit a request for academic consideration for the exam/test.
The exception is when your class/tutorial or lab conflicts with a special exam. In these cases, the special exam takes priority and you will be approved to miss the conflicting class, tutorial or lab.
I have two midterms scheduled at the same time:
- Review your course outlines to determine which course(s) offer a make-up.
- if both courses offer a make-up it, you can decide which one you move
- if only one course has a make-up midterm, you should move that one and write the one that does not.
- if neither course offers a make-up contact both instructors and explain the scheduling conflict and discussion what alternate arrangements can be made (e.g. write back-to-back exams)
- Upload supporting documentation (screen shot of exam/test dates and times taken from Brightspace or the course outline) to the Student Absence Portal.
- 3 or more exams/mid-year tests scheduled within 3 consecutive periods or 23 hours;
- 4 or more exams/mid-year tests scheduled within 6 consecutive periods or 47 hours; or
- 5 or more exams/mid-year tests scheduled within 9 consecutive periods or 71 hours.
Students who have any of these types of conflicts and who wish to explore alternative scheduling options, should submit a request for academic consideration through the Student Absence Portal. A student with examinations/mid-term tests having flexible submission times (e.g. take home tests or tests with flexible submission windows) cannot request alternate arrangements unless a conflict cannot be avoided.
A Special Examination is any examination other than the regular or supplemental examination schedules and may be offered only with approval of the Academic Advising Office of the faculty in which the student is registered. This approval must be in consultation with the course instructor.
Permission to write a Special Examination may be given on the basis of compassionate or medical grounds with appropriate supporting documentation, or for religious grounds provided sufficient written notice is submitted.
If you miss a final exam during an official exam period, you must submit a request for Academic Consideration through the Student Absence Portal with supporting documentation.
What if I miss my Special Examination?
- If Academic Consideration is approved:
You will be Withdrawn from the course without academic penalty (WDN) - If Academic Consideration is not approved (or not requested):
You will receive a grade of zero on the examination.
Can I request relief to get an additional attempt due to extenuating circumstances?
In extenuating circumstances, such as a serious, prolonged illness that prevented you from completing academic work from the time of the original exam through to the Special Exam, you may request relief to the Associate Dean for permission to write the final exam the next time the course is offered.
If your request for relief is granted your course load will be reduced in the term in which the examination is deferred.
If an SPC appears on a course that is a pre-requisite for another course you will be removed from that course.
Examples:
| Situation | Outcome |
| Miss original final exam + Academic Consideration approved |
One Special Examination granted |
| Miss Special Examination + Academic Consideration approved |
Withdrawn from course (WDN) |
| Miss Special Examination + Academic Consideration not approved |
Grade of 0 on the exam |
| Miss Special Examination due to serious, prolonged illness |
May request relief to write the exam the next time the exam is offered |
For requests for academic consideration due to Religious Holidays:
- Students must notify instructors no later than 1 week prior to writing a test.
- Students must notify instructors no later than 2 weeks prior to writing a final examination.
A student who, for medical or compassionate reasons, is unable to complete their term work prior to the last day of classes and who wishes an extension in order to complete it, shall submit a written request to the Academic Advising Office of the School in which the student is registered. The request shall include the following information:
- the type and extent of the work to be completed;
- the date on which it is due;
- the name of the faculty member who will receive and grade it.
- Students registered in the Faculty of Health Science, may have an INC on their academic record for no more than 1 year before the grade is converted to an F. Students will be notified of this grade conversion by Academic Advising, and will be given 3 weeks to appeal the decision (in writing) to the Associate Dean.
When a grade of Special (SPC) or Incomplete (INC) appears on a student's record, the notation will be removed and replaced by a substantive grade as soon as the grade is available.
Students with INC and SPC in the spring will be required to reduce their course load in the fall/winter term.
