This page explains the different IDs used at Western and how to access My Human Resources.

Understanding Your IDs at Western

Western uses several types of identifiers. Depending on your role, you may have one or more of the following.

Western User ID

This is the username you use to sign in to most Western systems, including My Human Resources, email, OWL Brightspace and Student Services.

It is usually a combination of letters and numbers (for example, jdoe12).

It is paired with a password managed through Western Identity Manager.

This is the ID you use to log in.

Student Number

9-digit number assigned to every student (for example, 250123456).

It appears on your Western ONECard and it is used for student records and academic systems.

It cannot be used to log in on its own.

Employee ID Number

This unique identifier is created when an individual is added to My Human Resources.

It is used for Human Resources records.

It may be the same as your student number, or may be different.

You will be asked for this number when contacting Human Resources or the WTS Helpdesk.

Employees

When an individual is set up in My Human Resources, an employee ID number is created.

Your supervisor or department HR representative will provide your employee ID number on or before your start date.

Students

Students are assigned a student number and can use their student User ID and password to log into Western’s systems. The student number is used to set up students in My Human Resources, where possible. 

Students with Previous Employment at Western

Some students may have an older employee account from previous employment at Western. These accounts may have a different employee ID number and User ID. In these cases, the employee User ID must be used to access My Human Resources.

If the employee account is no longer needed, submit a request using ASK HR to have the HR record converted to your student number and student User ID.

Help with Your Western User ID or Password (for signing in to My Human Resources)

  • Location: Support Services Building, main floor (inside main entrance) 
  • Hours: Monday–Friday, 8:30 a.m. to 4:30 p.m.
  • Information Required:
    • Your Western ID number (Student number or Employee ID number)
    • Personal information to verify your identity

Help Finding Your Western ID Number

If your Western ID number is not available on your Western ONECard, contact Western Human Resources.

  • Use ASK HR to submit a request OR call 519-661-2194 or ext. 82194
  • Location: Room 4159, Support Services Building
  • Hours: Monday – Friday, 8:30 a.m. to 4:30 p.m.
  • Information Required:
    • Personal information to verify your identity
    • If visiting in person: two pieces of government-issued photo identification (such as a driver’s license, citizenship card, passport)

Quick Reference: Which ID Do I Use?

Western User ID → What you use to log in Western Systems

Student number → Identifies you as a student. This is also referred to as your Western ID number.

Employee ID number → Identifies you in My Human Resources. This is also referred to as your Western ID number.

Some individuals may have both a student number and an employee ID number.
